Why is the guest number not enough?
Two events with the same attendance can have entirely different security requirements. An invitation-only corporate event with a single entrance calls for different arrangements than a multi-day outdoor event with several entry points, alcohol service and a stage programme.
The headcount can therefore only be set responsibly once the venue, the programme, the guest profile, the entrances, the evacuation options and the organiser’s processes are known.

What should the service plan contain?
The plan has to record, briefly and unambiguously:
- the service points;
- the access control procedure;
- the directions of guest flow;
- the communication and notification chain;
- incident escalation;
- the boundary between the organiser's and the security service's duties;
- shift changes;
- incident documentation.
The plan must be talked through with the key people before the event. A document is only usable if the on-site personnel know it and understand it.
How does access control affect the guest experience?
Access control is not only a security point; it is the guest's first encounter with the event. Slow, inconsistent or discourteous checks can create tension before the programme has even begun.
The method of checking, the entitlements, the handling of problematic tickets, re-entry, and who decides in exceptional situations all need to be clarified.
